How to use File Tags

File tags allow you to organize and categorize your uploaded BAPLIE files using custom color-coded labels. Tags can be created at the facility level for shared use across your team, or applied directly to individual files.

Creating Facility Tags

Facility tags are shared across all users within your facility. Only Facility Administrators can create facility-level tags.

1. Navigate to **Facility Settings**
2. Select the **Tags** tab
3. In the **Add New Tag** section, select a color from the available color swatches
4. Enter a name for your tag in the text field (e.g., "Export", "Urgent", "Winter Route")
5. Click the **+** button to create the tag

The tag will now be available to all users within your facility.

Adding Tags to a File

You can add tags to any file you have access to.

1. After uploading a file, click the **Add File Tags** button that appears on the upload confirmation screen. Alternatively, open the tag modal from the file listing in the vessel list
2. In the **Add Tags** modal, you have two options:
- **Use an existing facility tag:** Your facility's shared tags are listed at the bottom of the modal. Click any tag to apply it to the file
- **Create a new tag:** Select a color from the color swatches, type a tag name in the search field, and click the **+** button
3. As you type, matching facility tags will appear as suggestions in a dropdown
4. Applied tags appear at the top of the modal as colored pills. Click the **x** on any tag to remove it from the file

Filtering Files by Tag

Once files are tagged, you can filter your file list to show only files with a specific tag.

1. Navigate to the **File Dashboard** or **Vessel List**
2. Use the **Select a tag to filter files** dropdown at the top of the file table
3. Select a tag name to filter the table to only files with that tag
4. Click **Clear Tag Filter** to remove the filter and show all files

If your facility has configured tag-based navigation, the vessel list will display tabs along the top, one for each tag. Click a tab to view files grouped under that tag.

Managing Facility Tags

Facility Administrators can view and delete facility-level tags.

1. Navigate to **Facility Settings** > **Tags** tab
2. All facility tags are displayed as colored pills under **Current Tags for Facility**
3. To delete a tag, click the **x** button on the tag pill and confirm the deletion

Deleting a facility tag removes it from all files within the facility.

Tag Colors

Eight predefined colors are available for tags:

- Yellow/Gold
- Orange
- Pink
- Purple
- Blue
- Cyan
- Mint Green
- Lime

Each color automatically includes a contrasting text color for readability.
